In order to function effectively, all businesses need to store and process similar information, although the volume and complexity of the data varies according to the type and size of the business. All businesses hold and store data on the products or services they provide, on their employees, on their customers, suppliers and other business contacts.  These databases are the building blocks for such core business activities as Accounts, Sales Management, Purchasing, Credit Control, and Payroll. They enable business control to be reinforced through associated activities as Stock Control, Sales Order Processing, and Financial Forecasting.

Typically control of these additional functions may be provided by extensions to the Accounting System.  For example, while Sage 50 Accounts provides facilities for managing customers, suppliers and everyday finances, Sage 50 Accounts Plus adds basic invoicing and stock control functions. Upgrading to Sage 50 Accounts Professional provides Sales and Purchase Order Processing, more advanced Stock Control, Project Management, and Foreign Trading tools.

Further business control may be provided by separate software, which accesses the same basic data, but uses further data sources to build on it. In some cases the software may be from the same source as the accounting software. For example Sage provide a range of such software, including ACT! for Contact Management and HR for Human Resource Management,  In others the software may come from a third party such as FrontRange (Goldmine), or Microsoft (Outlook). In each case the ability to share contact data enables the email system to be integrated with Customer, Supplier, Contact, and Employee databases.  In addition Sage 50 links with Microsoft Office to allow Office applications to share the data held within the Accounting System.

Where no suitable software tools exist, or where the needs of the individual business are too specific for standard software products, modifications or extensions to the accounting system may provide the best solution.
